Terms of Service
1. Acceptance of Terms
By accessing or using GlowFlow (the "Service"), operated by Unity Labs, you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use the Service.
2. Description of Service
GlowFlow is a salon and wellness business management platform that provides scheduling, client relationship management, point of sale, inventory, staff, payroll, marketing, and analytics tools. Some features are illustrated through an interactive demo workspace that is pre-populated with fictional sample data and is not connected to real payments or third parties.
3. Accounts & Authentication
Accounts are created and authenticated through GlowFlow's secure sign-in system. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. Notify us immediately of any unauthorized use.
4. Subscriptions & Billing
Paid plans are billed through Stripe on a recurring basis (monthly or yearly, depending on your selection). By subscribing, you authorize us to charge your chosen payment method on a recurring basis until you cancel. You can manage or cancel your subscription at any time from the billing portal inside your account. Fees are non-refundable except where required by law.
5. Demo Workspace
The demo workspace is provided free of charge for evaluation purposes. It uses generated sample data, does not process real payments, and may be reset or removed at any time. Creating a real salon workspace requires an active paid subscription.
6. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable regulation.
- Attempt to gain unauthorized access to other accounts, salons, or systems.
- Upload malicious code or interfere with the normal operation of the Service.
- Use client contact data collected in GlowFlow to send unsolicited or non-compliant marketing communications.
- Reverse engineer, resell, or white-label the Service without our written consent.
7. Your Data
You retain ownership of the business, client, and operational data you enter into GlowFlow ("Customer Data"). You are responsible for ensuring you have the necessary rights and consents (e.g., from your clients) to store and process that data within the Service, including data used for SMS/email marketing campaigns sent via our messaging partners (Twilio and SendGrid).
8. Termination
We may suspend or terminate access to the Service for violation of these terms or non-payment. You may cancel your account at any time; Customer Data may be deleted after a reasonable grace period following cancellation.
9. Limitation of Liability
The Service is provided "as is" without warranties of any kind. To the maximum extent permitted by law, Unity Labs and GlowFlow shall not be liable for any indirect, incidental, or consequential damages arising from your use of the Service.
10. Changes to These Terms
We may update these Terms from time to time. Continued use of the Service after changes take effect constitutes acceptance of the revised Terms.
Privacy Policy
1. Information We Collect
We collect information you provide directly, including:
- Account information (name, email) when you sign up or log in.
- Business data you enter, such as clients, appointments, staff, products, and transactions.
- Billing information processed securely by Stripe (we do not store full card numbers).
- Usage data such as pages visited and features used, to improve the Service.
2. How We Use Information
We use collected information to:
- Provide, operate, and maintain the Service, including your Convex-backed database.
- Process subscription payments and send billing-related communications.
- Send transactional messages (e.g., appointment reminders, review requests) and, where you configure them, marketing campaigns via SendGrid (email) and Twilio (SMS).
- Improve, secure, and troubleshoot the Service.
3. Third-Party Service Providers
We rely on the following trusted subprocessors to operate GlowFlow:
- Convex — backend, database, and authentication.
- Convex — application database and backend functions.
- Stripe — subscription billing and payment processing.
- SendGrid — outbound transactional and marketing email delivery.
- Twilio — outbound SMS delivery for reminders and campaigns.
Each provider processes data solely to deliver the functionality above and is bound by its own privacy and security commitments.
4. Cookies
We use essential cookies to keep you signed in and to remember preferences such as your selected language and salon theme. We do not use third-party advertising cookies.
5. Data Security
Data is encrypted in transit (TLS) and at rest by our infrastructure providers. Access to production data is restricted to authorized personnel on a need-to-know basis.
6. Data Retention
We retain Customer Data for as long as your account is active. Following account closure, data may be retained for a limited period to comply with legal obligations or resolve disputes, after which it is deleted or anonymized.
7. Your Rights
Depending on your jurisdiction, you may have the right to access, correct, export, or delete your personal data. To exercise these rights, contact us using the details below.
8. Children's Privacy
The Service is not directed to individuals under 16, and we do not knowingly collect personal information from children.
